Small service businesses rarely lose work to competitors. They lose it to silence: the enquiry that sat unanswered for a week, the proposal that never got a nudge, the warm lead that quietly went cold while you were heads-down delivering.

The fix is not a heavier sales process. It is a single visible list of every open conversation, honest stages that match how you actually sell, and one weekly pass over the board asking each card the same question: what is the next small step, and whose move is it?

Treat the forecast with suspicion and it becomes useful. A board full of maybes is not revenue, but a weighted total, where each stage carries a probability, tells you whether next month is a hiring month or a hustling month.

Send on a rhythm. A Friday invoice after a delivered week reads as a natural full stop. The same invoice three weeks later reads as an interruption, and gets treated like one.

Running the week from inside the week is how things get missed. Once a day, look up: what is due, what is overdue, which retainer is running hot, what moved on the pipeline. Two quiet minutes with the whole picture beats an anxious Sunday audit.

The point of all this structure is not the structure. It is that the evening copying numbers between apps becomes an evening off, and the business runs on a calm weekly rhythm you could describe to someone on one hand.
